Many people now take advantage of the facility in the Printing Centre for accepting word-processed copy on disk or via e-mail and converting it into typeset text for printing. Properly used, typesetting direct from disk/e-mail can save a considerable amount of time and cost. If copy is carefully prepared and proof-read, the cost of alterations at a later stage will be eliminated. It is important to remember that typesetting should be the culmination of the drafting process, not an intermediate stage!

It is recommended that before starting any job, you discuss it with the Printing Services Manager, who will be able to advise on the most cost-effective way of proceeding. For example, if you are simply updating a document which we already hold on disk, it may well be cheaper to supply manual amendments to the existing text, rather than a new disk containing the whole document.

If you intend to print directly to our colour laser copier or high volume black on white copier via the University internal network, please contact us and we can inform you of the best way to do this.

To enable us to process your work as quickly and cheaply as possible, please observe the following points:

  • Type in upper and lower case only and set text to the left-hand margin.
  • Use only one space after punctuation.
  • Keep files short.
  • Spell-check and proof-read copy carefully (remember that alterations will cost money).
  • Save the Microsoft Word file on an empty disk or send via e-mail to pcentre@essex.ac.uk.
  • Print out one hard copy (which can be annotated if required to show bold, underlining, bullet points, italics etc).

  • Use any character formatting (no underlining or use of ALL CAPS).

Remember that any alterations to the text after typesetting will cost you money!

what we need from you

When you are satisfied that the text is in its final, correct form, give the printing centre:

  • The labelled disk (not needed if the document has been sent via e-mail).
  • The labelled hard copy, (please write your name and telephone extension clearly on the print-out, in case of any query).
  • A completed 'Printing Order Form' (from the Printing Centre).
  • Any photographs or pictures to be incorporated in design.

University of Essex staff procedure (regarding the acquisition of Print and Design)

Introduction

The purpose of this procedure document is to maintain a standard approach to the acquisition of Print and Design throughout all University Campuses and to ensure that the best value is achieved and demonstrated by utilising Print Essex and the contracted supplier.

Print Essex

The Printing Centre is based on the Colchester campus and is able to provide an extensive range of services to all Campuses, including artwork, design, various printing types and a wide variety of binding options.

All jobs for design, printing and finishing should be sent to the Printing Centre and requisitioned on form PC.11, or via email. The requisition/email should have full details of the customer’s name, department, charge code, delivery address and an email address.  In addition to providing the text for reproduction, a specification should accompany each job. The specification should incorporate at least the following information:

●  Quantity

●  Size

●  Colour of Printing

●  Type and colour of material

●  Binding/finishing requirements

Contracted Supplier

In the event that the Printing Centre is unable to undertake a job, either because it is not equipped to do it or it cannot meet the timescale, it will outsource the work to the contracted supplier and will manage the procurement process on behalf of Departments/Sections.

Acknowledgement of Requisitions

All requisitions for print will be acknowledged by Print Essex. The acknowledgement will include details of the specification, giving the opportunity for customers to check that Print Essex has interpreted the initial instructions correctly. For all jobs above £2,000 in value an authorised signature for approval will be required. Print Essex will contact customers via the order acknowledgement if this is necessary.

Proofs

Print Essex will provide proofs for all new jobs and also for documents which contain significant amendments. We require that the  proofs are clearly marked in red ink with any amendments and signed by the appropriate person prior to returning them to Print Essex. Proofs should be returned to Print Essex as soon as possible via the internal post or by hand if there are tight deadlines to be met. 

Delivery/Collection of Finished Jobs

The production period will depend on the type of job and the volume of work scheduled at the time the job is required. However, the delivery period is normally within 14 days from receipt of an order. In exceptional circumstances this turnaround period may be able to be reduced, depending on the type of job. All jobs will be delivered on the next working day following completion, unless arrangements have been made for collection.  

Invoicing

Print will be charged direct to Departments following completion of the job and generally by the end of each month. The invoice will contain details of the description of the work undertaken, job number for reference purposes, together with the cost of the job.
